Designing for Professional Users

User Generated Design was tasked with developing a new design for an office management tool aimed at businesses looking to streamline their internal processes. The goal was to create a design system that provides a clear visual identity while ensuring task management remains structured and consistent. Key focuses were scalability, modularity, and intuitive navigation, designed to best support both individuals and teams in their daily workflows.

Researching User Needs

The design system was specifically developed to meet the needs of professional users working predominantly in a desktop-first environment, ensuring efficient task completion. Research focused on understanding user workflows, with the goal of creating a system that supports their processes and office tasks seamlessly. Through interviews and user testing, it was ensured that the system would be intuitive and adaptable, facilitating both everyday and more complex tasks.

Defining the Visual Identity

The visual identity of the project was redefined from scratch. A key aspect was the clear and concise presentation of information, for which the IBM Plex typeface family was selected. The combination of IBM Plex Sans and IBM Plex Mono provides a perfect balance between modern readability and the precise display of technical content. Plex Mono was specifically used for areas where exact data or technical values are crucial, while Plex Sans ensures clarity and simplicity in text. In addition to the new colors and typographic structure, a consistent UI system was developed, known for its recognizability and modularity. The new color palette, led by a dominant teal tone, conveys freshness and energy, while neutral shades provide stability and professionalism. The strong contrast with orange creates a system that is highly recognizable.

Transparent Components and Modern Design Elements

A central design feature was the use of transparent components, integrated seamlessly into different layouts. Regardless of card design, these components maintain visibility and structure. Shadows and blur effects were added to create a tactile sense of hierarchy, improving usability and guiding the user’s attention to important content.

A Design System Built for Scalability

The design system was built with modularity and scalability at its core, ensuring future adaptability. Reusable components reduce development effort while maintaining consistency. With clear guidelines on colors, typography, and layout, the system provides a strong visual language that is easy for both developers and users to understand, supporting the ongoing growth of the New Work office management platform.

A Challenging and Exciting Process

I found this project particularly exciting because it required me to quickly process a lot of existing solutions and design systems. This challenge involved analyzing various approaches and best practices to identify the most effective elements for the new design. By combining these insights, I was able to create a „best of“ design that not only met the project’s needs but also improved upon existing solutions, ensuring both functionality and visual appeal in the final outcome.
